Microsoft 365 Copilot Readiness for Canadian Businesses

Prepare Microsoft 365 permissions, licences and staff guidance before Copilot works across your email, files and Teams.

Your workplace

Why this matters.

Microsoft 365 Copilot can search and summarize the email, files, chats and meetings each user can already open. That makes existing sharing settings matter: a folder shared too widely years ago becomes easy to find with one question. Readiness work reviews access before staff begin, so Copilot reflects the permissions your business intends rather than the ones it has accumulated.

The IT work

What Netsmart can help with.

  1. Access and sharing review

Review SharePoint, OneDrive and Teams sharing, site permissions and old links, and agree what should be tidied before Copilot is enabled.

  2. Licences and protection settings

Confirm Copilot licences and the Microsoft 365 plans in use, and apply sensitivity labels and data-loss settings where your plan includes them.

  3. Pilot and staff guidance

Enable Copilot for an agreed pilot group, practise everyday tasks with approved examples and record guidance on checking results before wider use.

Copilot works inside Microsoft 365 and follows each user's existing permissions; it does not decide who should see what. Readiness work therefore starts with access: which sites are shared with everyone, which links still work for people who have left and which libraries hold confidential client or financial records. We agree the changes with you, make them in stages and check that staff can still reach what they need.

A practical example

How this works in practice.

For example, a professional office could find that an old client folder is shared with the whole company. Before Copilot is enabled, access would be limited to the people who work on that client, and the pilot group would then test everyday requests such as summarizing a long email thread.

Checks and handover

What the work can include.

  • Sharing and permission review with agreed changes
  • Copilot licence and settings summary
  • Pilot results and staff guidance

Planning the work

What we’ll confirm before work starts.

Confirm your Microsoft 365 plans, the pilot group, the sites and mailboxes in scope and who approves sharing changes.

Netsmart Intelligence

Secure AI, backed by our cybersecurity practice.

Netsmart Intelligence is backed by our cybersecurity practice, including GIAC Certified Incident Handler (GCIH) expertise and staff who hold Microsoft certifications in security, compliance, identity, Azure and Microsoft 365. We control who can reach which information, limit what each connection can use, oversee the integrations and require human review before consequential actions such as sending messages, changing records or approving payments. The gateway respects your software’s permissions and cannot bypass its restrictions.

Being offered AI by another provider? AI needs access to your client files, records and financial information. Before you give that access to any provider, talk to IT and cybersecurity specialists who know how to connect and secure your systems.

AI services are not automatically included in existing IT agreements. Your proposal separately identifies setup, custom development, ongoing support, software licences, AI/API usage and any supplier work.
